Organization of the helpers

We do not have a authority who is responsible for the organization of the helfers. Your contact is your working group.

 

Communication

We communicate mainly via an internal forum. If you want to stay up to date, have a look there. You can also set up automatic e-mail notifications and subscribe to individual threads if you don’t always want to check them manually. If there’s something really important, we’ll also send it around to everyone by e-mail.

In the two weeks before an Anime Flea Market, please check your messages daily. Otherwise, it is sufficient if you check every two weeks to see if there is anything new.

For OTAF members it is urgend necessary to check the forum regularly.

Please consider that a cooperation only works if we can communicate reliably with each other. For example, it is not possible to have to write you a message several times for a small piece of information.

 

Change between the team of helpers and OTAF

It is possible to change from the team of helpers to the OTAF and vice versa at any time in accordance with the requirements set out in the OTAF regulations.

 

OTAF-assembly & working groups

The OTAF-assembly is our supreme decision-making entity. There, we decide democratically about organizational matters for the Anime Flea Market and changes to the OTAF regulations. This is also where the people for the commitee of membership is are elected. It usually takes place twice a year.

The working groups work independently on the objectives agreed at the OTAF meetings, within the framework of the guidelines agreed there and the OTAF regulations. They also need to work together. For example, if the gameing area is planning a competition, they must inform the website team and others in good time so that they can put all the important information online.
Both OTAF members and helpers can join any number of working groups.

 

Working group “Legal matters & finances”

It has a special position, as it has a right of veto over all other working groups. It ensures that all legal requirements are complied with and that financial resources are not exceeded. They also work out our GTC, for example, and help the other groups to implement their plans.

 

Commitee of membership

He is responsible for organizing OTAF meetings, recordings of OTAF meetings, settlements of disputes and ensuring that the OTAF regulations are observed.

 

Nishi Trade e. V. (registered association)

This registered association is the oficial organizer of the Anime Flea Market. Every OTAF member has to be a member of the Nishi Trade e. V.. Conversely, this does not mean that every member of the association is also an OTAF member. Preparation is necessary

No matter which field you help out in, you need previous knowledge. Therefore, please register as a helper or OTAF member a few months in advance.

We organize information and preparation meetings from time to time. These are mostly organized by the respective working groups themselves. Some meetings take place offline, others online. On the one hand, there are non-open meetings which can only be attended by people who have already registered with us as helpers or OTAF members. On the other hand, there are also open meetings which anyone can attend.
